If you have admin permissions to manage assignments, you'll be able to do so via the Assignments tab on the Team Management page. From here, you can switch between two assignment subtabs:
- General: This is where you’ll go to assign Elite Selling Certifications and any non-certification learning content. In this subtab, you can view the assignments you’ve created, as well as assignments created by other admins and managers in your company. The General subtab is the focus of this article.
- Command Series Certifications: This is where you’ll go to assign Command Series Certifications. In this subtab, you’ll see a list of professional certifications in scope for your company that you can click into to see the learners that are assigned, eligible to be assigned, and not eligible for each. NOTES:
Whenever you select any of the action button in an assignment (Edit Details, Manage Content, Edit Dates, or Manage Assignees), that assignment is "checked out" to you and others are not able to edit it until you've clicked Cancel or Apply/Save.
If you don't need to make any changes, always click Cancel to "check" the assignment back in. Closing the tab/window or just leaving the screen without clicking Cancel will leave it "checked out" to you and can cause confusion.
Navigate to the Assignments Page
The Assignments tab on the Team Management page is where you’ll go to manage assignments. To get there:
- Select the Profile and Account Settings icon in the top right menu.
- Select Team Management.
- View and manage assignments on the Assignments tab.
Note: Only those granted Assignments permissions or set up as a manager will have access to this tab. Available permissions within this tab will vary by role.
Create an Assignment
- On the Assignment tab, select Create.
- Under Assignment Details:
- Fill in the Title. We recommend sticking with a consistent naming structure - it makes it easier to find the assignment you’re looking for in the Assignments list.
- Select a Launch Date. This is the date this content will get added to the Current Assignments list for the assignees and when they'll get notified (via email and bell notification) that they have a new assignment.
- Set an Enrollment Close Date. This is the date that will be the deadline for adding assignees to that assignment.
- Select Create.
- You'll be taken to that assignment for further editing.
Manage Courses and Paths for an Assignment
Within an assignment, in the Courses tab:
- Select Manage Courses.
- Find and select the courses or learning paths should be included in the assignment. You can search by name or use the filters to narrow down the list.
- Select Update.
- Select Edit Dates.
- Set a Due Date for each course.
- Set a Reminder Date for each course.
- Email and bell notifications will be triggered on these dates for any assignees that have not yet completed the course.
- Select Save Changes.
Notes: For assignments created by Force Management, you will have view-only access the Courses tab. For assignments you have edit access to, you will not be able to add or remove courses and paths once the Launch date has passed (but you will still be able to adjust reminder and due dates).
Manage Assignees for an Assignment
Within an assignment, in the Assignees tab:
Adding User Individually from the selected list:
- Select Manage Assignees.
- Selecting users individually from the list: Find and select the users that should be included as assignees. You can search by name or use the filters to narrow down the list.
- Select Apply.
Bulk adding users from excel upload:
- Select "Add Selections via Upload"
- Download template by selecting "Template"
- Add all email addresses in the Excel column labeled "Email" and save the spreadsheet
- Upload the file by selecting "Select File"
- If all email addresses are correct, select "Add Selections"
- If any are incorrect, update the spreadsheet and re-upload
- Select "Apply"
Note: You will not be able to add or remove assignees once the Enrollment Close date has passed.
View All Assignments
On the assignments page, you can see all of your company’s assignments, even those created by others.
- All Active/Upcoming/Launched — Quick filters to show all assignments or just those that have or haven’t launched yet.
- Launch Date — The date that the assignment "launches" to the assignee’s Enroll page and sends them a notification. (It will launch immediately for assignees added after the launch date.)
- Enrollment Close — This is the deadline for adding assignees to that assignment.
Note: Managers are able to view assignments created by others, but can only manage their own.
Add Participants to an FM-Services Assignment
As part of your engagement with Force Management, assignments for FM-led services will be created by one of your FM services admins. Once they have created the assignment, they’ll notify you to add the appropriate participants.
Pay attention to the Enrollment Close Date listed for the assignment — this is the deadline for adding assignees to that assignment.
- On the Assignment tab, find the appropriate assignment and select the number in the Assignees column.
- Select Manage Assignees.
- Adding User Individually from the selected list:
- Find and select the users that should be included as assignees. You can search by name or use the filters to narrow down the list.
- Select Apply.
- Bulk adding users from excel upload:
- Select "Add Selections via Upload"
- Download template by selecting "Template"
- Add all email addresses in the Excel column labeled "Email" and save the spreadsheet
- Upload the file by selecting "Select File"
- If all email addresses are correct, select "Add Selections"
- If any are incorrect, update the spreadsheet and re-upload
- Select "Apply"
On the assignment Launch Date, this assignment will get added to the Current Assignments list for the selected assignees. They will also receive a new content assigned email notification.
Note: Only individuals granted Manage Users and Manage Assignments permissions will have access to manage participants for FM services-related assignments.
